In 2016, a new data protection regulation was adopted in the EU. This regulation replaces the data protection law, which is over 20 years old. Consequently, we are updating our data protection and usage policies, as well as the way in which we obtain consent from our past, current, and future customers. With the new regulation, our customers' right to data protection is strengthened, and it places new demands on how we handle our customers' personal data.

If you purchased an item from Castens in 2018, you will be aware that we have registered you as a customer in our customer database and also enrolled you in our Castens Club. We obtained your verbal consent for this before proceeding with the transaction. If you have shopped with us previously, you will also be registered in our database with your details. However, all customers will receive an email enabling them to give us their consent for us to register or retain the data we hold on our customers. This is how we can ensure that we can always locate an order, both to recreate it should you lose it and to inform your insurance company of the exact materials your jewellery was made from. This makes it easy for both us (when processing your order) and for you, should you at a later date require information regarding that specific piece of jewellery, or if you wish for us to create a new one, utilising the previously entered information.
Data protection also covers information we collect by responding to emails and information provided over the phone. However, we do not record phone calls and can therefore only collect data using written notes that can be attributed to the individual customer.
It may be that we change the data protection statement in accordance with applicable legislation, so if data protection is important to you, you should update yourself regularly by re-reading the statement. If we change anything that will affect you directly (e.g. if we use your data for purposes other than previously stated), you will be notified of the changes before the new activities begin.
If you do not accept this privacy statement, there may be services we can no longer offer you. This could include reordering jewellery, printing previous invoices, newsletters, delivering jewellery to your address, or calling/emailing you to confirm your order is ready for collection. However, we will always be able to process your order, and you also have the option of using a pseudonym in our customer database, for example. However, this may also affect our ability to assist you with your insurance or similar matters.
As soon as you have placed an order with Castens, we collect your name and contact details such as email address and/or phone number. This information is used for customer recognition so that we can contact you when the order is ready, or if there are any queries, and to ensure that we do not hand over your order, which may be partly or fully paid for, to someone else.
This information will, with your consent of course, be entered into our database, which allows both you and us to access it digitally. If you use our customer database through a membership of Castens Clubben, you can add sizes, dimensions, and preferences yourself, and this information will likewise be stored by Castens. The information can be deleted at any time upon request, but unfortunately, we cannot offer to be able to restore it once it has been deleted. Furthermore, your IP address will be registered from your computer, mobile, tablet, or other device that you use to access our website. If you make a purchase on our webshop, we collect information about your payment details, which are used to process your order.
Several parties are involved when you are served as a customer at Castens. Firstly, we have to share your personal data when we invoice your order through our invoicing system, and secondly, your card payment is registered through our financial institutions such as banks, payment gateways and card acquirers. This information is necessary to collect and share with these third parties in order to complete a payment. Information processed by third parties is processed solely on behalf of Castens and may not be used for their own purposes. We do not sell or rent out your personal data to other companies!
We store your personal data for as long as is necessary to offer you the use of our services, or to be able to provide our services to you; including processing jewellery orders, delivering orders, and further processing, newsletter subscriptions, and Club membership. All personal data is covered by this privacy statement. If you have any questions regarding the storage period for specific types of personal data, please do not hesitate to contact us.
We use appropriate systems and procedures to protect your personal information. We also have security measures, as well as technical and physical restrictions on the access to and use of personal information held on our servers. Only authorised employees using information in connection with their work will be granted access to the information.
Unless otherwise stated, at Castens, you can only access our services if you are over 16 years of age. We only process information about children with the permission of a parent or guardian, or if the information has been submitted by a parent or guardian.
You always have the right to access your personal data. You can do this yourself digitally if you are a member of Castens Clubben, where you also have the option to change your information. You can also always request a copy of your personal information if you cannot access it in the aforementioned way. Likewise, you have the option at any time to have your personal information deleted or otherwise restricted, just as you have the right to ask us to share your information with a third party.
If you have personally changed your personal data through your club membership, it is your sole responsibility to ensure that your personal data is correct, and in the event that it is incorrect or incomplete, we ask you to correct it or inform us immediately.
In cases where we process your personal data with your consent, you have the right to withdraw your consent, though not with retrospective effect.
You may be purchasing a piece of jewellery for another person and in doing so, providing us with information about another person. In this regard, we must point out that it is your responsibility to inform the person whose information you have disclosed. If it is a gift, the person must be informed immediately after the gift has been presented. If we have registered their email address, they can create a Castens Club membership themselves and will also have the opportunity to access their personal data held by us. Naturally, we will delete information about a gift recipient at any time, should this be desired.
We sometimes use your information for marketing purposes, such as sending out newsletters. You can easily unsubscribe from email marketing at any time – simply click on ”unsubscribe” at the bottom of all newsletters. Please note that you can still be a member of the club even if you opt out of the newsletter. When you participate in competitions, we will also collect and store the data you provide, and you can have this data deleted at any time by contacting us.
At Castens, we use social media, which allows us to market our products while making it simpler for you to keep up with news, create wish lists, and order items online. As a result, we collect some of your personal data through social media.
As something new, you can log in to Castens Clubben via Facebook, as we've integrated the media with each other, meaning you won't have to remember multiple passwords. These accounts can, however, be disconnected at any time if you no longer wish for the integration. As long as your accounts are integrated, certain information will be available to the social media provider, and Castens will automatically be informed of information that is publicly available on your social media accounts. If you do not wish for this, you can edit your settings individually on the different social media platforms, and this will not affect your use of our services.
If you use our Facebook page, either with just a like or if you participate in competitions or similar, Facebook may also collect data about your actions. However, these terms are something you can change at any time on your Facebook account and which you have had to accept on Facebook and other social media recently due to the new data protection regulation.
Castens relates to the legal basis when we process certain personal data in order to fulfil our agreement with you. This means that we cannot process an order without certain personal information being provided and stored for as long as the order is active. Castens operates on the basis of consent for personal data to be stored, and should you wish for it to be deleted, we will do so without delay.

You have the right to be informed about what personal data we hold about you. You can also object to the use of your data at any time. You can also withdraw your consent for us to process data about you. If the data processed about you is incorrect, you have the right for it to be corrected or deleted. You can do this yourself via your membership of Castens Clubben, your newsletter subscription status, or by contacting us directly at: design@castens.com. If you wish to complain about our processing of your personal data, you also have the option to contact the Danish Data Protection Agency.
